Once the register holds more than a page of vendors, these tools save you working through it row by row. Saved views, columns and exports are for anyone who can see vendors. Bulk changes and imports need permission to change vendors.
Saved views
A saved view remembers a search, a status tab and a location, so a list you check every month is one choice away. It does not remember which page you were on.
Set up the register the way you want it: a search, a status tab, a location.
Open Saved views above the register and choose Save view.
Enter a View name, such as "Singapore renewals".
If you are allowed to share views, choose Who can use this view?: Only me or Workspace. This cannot be changed after saving.
Choose Save view.
Pick a view from the Saved views list to apply it, and All vendors to go back to everything. When you change the filters of a view you manage, it shows Modified: Save changes updates the view, and for a workspace view that updates it for everyone who uses it. Manage views renames or deletes the views you manage. Defaults sets the view the register opens with after you sign in.
Columns and order
Open Columns to choose which columns the register shows, up to 12. Vendor always shows. Reset to default columns puts the standard set back.
Select a column heading to sort by it: Vendor, Spend, Seats, Renewal, Notice, Status, Category or Updated. Without a choice, the soonest renewal comes first. A saved view can keep its columns and order along with its filters.
Change many vendors together
Tick the box at the start of each vendor you want to change, on any page, up to 100. The box in the heading selects the rows on this page.
To change every vendor that matches the current filters instead, choose the Select all matching button when it is offered. It names how many vendors match, across every page.
Choose Change status or Assign owner.
Choose the New status or the New owner, then Review change.
Check the summary: the change, the filters, and the vendors it applies to. Choose Apply update.
The update is all or nothing. If any of the vendors changed after you selected them, or you can no longer change one, none of them is updated, and you are asked to refresh the register and review your selection.
Import vendors from a CSV file
Choose Import CSV.
Choose a UTF-8 CSV file of up to 2,000 rows. Open CSV columns to see the columns it needs. Owners are named by email address, and locations by their location code.
Choose Upload and validate. The file is scanned and every row is checked.
Review the result in Jobs: how many rows are valid, and what is wrong with the rest.
Confirm with the import button, which names how many vendors it will create. If some rows are invalid, tick Import valid rows only to skip them, or correct the file and upload it again.
An import only creates vendors. It never changes vendors already in the register. Processing carries on if you leave the page.
Export the register
Choose Export CSV to export the vendors you are looking at: the same search, status and location, in the same order. Where exports run in the background, the file is prepared under Jobs, where you download it when it is ready.
