Build and publish a roster

Plan a location's week as drafts, add shifts from templates or by hand, copy a week forward, and publish it so everyone on it is told once.

Rosters are built in the Console by people with the Manage rosters permission at the location. Admins have it by default. Open Shifts & hours and choose the Roster tab.

Read the grid

The roster shows one location and one week. Choose the Location and move between weeks with the arrows; This week comes back to today.

  • Each person based at the location has a row, and so does anyone with a shift or a work pattern there that week. Add person gives someone else who belongs to the location a row on this week's roster.

  • Open shifts is the row for shifts nobody holds yet.

  • Grey cells are a person's work pattern hours, or a shift at another site. You see where it is only if you can reach that location.

  • Holidays are marked on their day, and each day's header lists that day's company events at the location.

  • Times are the location's own local time. A shift that ends at or before its start runs overnight.

On a phone, or a narrow window, the grid becomes a list of days.

Add shifts

  1. Choose + in a person's row, or in the Open shifts row, on the day.

  2. Choose a template to fill the times, or set Starts and Ends.

  3. Set the Unpaid break (minutes), an optional Role (optional) such as Front desk, and a Note (optional) if the person needs to know something.

  4. Choose Add shift. It is a draft: only managers see it until the week is published.

A shift is between 15 minutes and 16 hours long, and its break is shorter than the shift. Two shifts on one day are allowed. A shift in the Open shifts row is an open shift, for anyone at the location to claim.

Templates are named shift times for one location or every location. Set them up on the Templates tab, then add a shift from one with a single choice.

Warnings

The roster warns and never refuses. A cell shows a warning when the person:

  • has two shifts that overlap, here or at another location;

  • is unavailable then;

  • doesn't belong to the location, or is deactivated;

  • works more than six hours with no unpaid break;

  • goes over the daily or weekly hours, or their own weekly cap;

  • works too many days in a row;

  • or gets too little rest between shifts, if your workspace sets a minimum.

The limits are under Settings. The warnings state facts, such as "46 h this week"; they don't say whether a roster meets employment law.

Copy, clear and publish

  • Copy week copies this week's shifts to the next one to four weeks. It skips cells that already have a shift, so pressing it twice adds nothing. A shift held by someone who has left becomes an open shift.

  • Clear drafts removes this week's drafts. Published shifts stay.

  • Publish week publishes every draft and tells each person once, in the app and by email, with all their shifts that week. Drafts with a warning are counted before you confirm.

Change a published shift

Change or cancel a published shift as you would a draft. The people it affects are not told at once: the changes wait, so someone whose shift you move three times hears once. Choose Send updates to tell them now. Otherwise they are told 30 minutes after the last change, by email too if the shift is in the next seven days.

If someone else changed the shift after you opened it, your change is refused. Reload the roster and make it again.

Today's column

On today's column each shift shows how it stands: in at 07:02, late, not in, done, or no clock-out.

  • Clock in for… clocks someone in who has no phone with them. Their timesheet marks it as done by a manager.

  • Cover is for a started shift nobody came to. The shift stays on the roster as missed, and a new published shift runs from now to its end for the person covering, who is told at once.

Every quarter of an hour the managers at a location are told how the day stands, such as "2 not in, 1 missing a clock-out", once for each change in those counts.

Use your browser's print command on the roster. The sidebar and buttons are left off, so the week fits a page you can pin up or photograph for a team chat.

In the calendar

Published shifts appear in each person's My calendar and in the calendar feed on their phone. Drafts never do. Managers can turn on the Roster layer, which shows one line a day for each site, such as "Orchard Kitchen: 9 on shift · 2 open". A phone calendar refreshes its feed on its own schedule, so a last-minute change reaches people by notification first. See The calendar.
