How each location clocks in

Choose phones or a site device for each location, set up tablets on a link only they can use, give people their codes, and set the workspace's clock and pay period settings.

For Owners, System Admins, AdminsLast updated 6 November 2026

Open Shifts & hours and choose the Settings tab. The workspace's settings come first; Clocking in below them is set for each location.

Workspace settings

These apply to every location, so changing them needs Manage rosters across the whole workspace.

  • Pay period: weekly, twice a month, or monthly from the day you choose. Timesheets are cut by it.

  • Shifts changing hands: whether a manager approves claimed and given shifts.

  • The clock:

- how many minutes before a shift people can clock in; - when they count as late; - how long after the end a clock-out counts as missing; - whether an early clock-in counts from the shift's start; - whether people may clock in without a shift; - and how many days site device photos are kept.

  • Warnings: the hours in a week and a day, days in a row, and the minimum rest between shifts that the roster warns at.

Choose how a location clocks in

Under Clocking in, choose the Location and one of:

  • On their phone: the Clock in button in the app, wherever they are.

  • On a site device, with a code: a tablet at the location shows a number pad, and each person types their own six-digit code.

  • On a site device, with a QR code: the tablet shows a code that keeps changing. People scan it with their phone and confirm with their face or fingerprint. Choose how long each code lasts, from 30 to 180 seconds; shorter is harder to pass to someone who is not there.

For either site device, tick The site device takes a photo at each clock-in and clock-out to have a photo for the people who approve timesheets. Photos are kept for the days set in the workspace settings, then deleted, and never used for face recognition.

You can switch a location at any time. Anyone clocked in already can still clock out. Where a location uses a site device, the phone sends people there instead of offering the button, and a clock-in made at the device ends there too.

Set up a site device

  1. Under Site devices, choose Add device and name it, such as Front counter iPad.

  2. Copy the link shown, which is shown only this once, and open it on the tablet.

  3. The tablet that opens it first keeps it. Any other device that opens the link is refused, shows nothing, and the location's managers are told.

Keep the clock on screen with Guided Access on an iPad or screen pinning on Android. Clearing the tablet's browser data, or using a private window, makes it a new device to the link: choose Reset so it can be opened again.

  • Reset frees the same link for the next device to open it.

  • Replace link ends the old link everywhere at once and makes a new one. Use it if the link was shared.

  • Remove stops the device. Hours already recorded on it are kept.

Each device shows whether it is in use, offline or not opened yet. If a device goes quiet for 15 minutes while shifts are running, the managers' clock update says so. Until it is back, use Clock in for… on the roster, or switch the location to phones for the day.

Codes

With codes, each person makes their own from the clock card in the app; it is shown to them once. To give someone a new one in person, choose New clock-in code beside them on the People tab. A new code stops the old one at once.

Five wrong codes in a minute lock that device's pad for a minute, and twenty in an hour lock it for the hour. Each lock tells the managers.

If the subscription lapses

Clocking in stops, on phones and on site devices. Clocking out keeps working, so nobody is left clocked in.
