People change who works a shift themselves, from My shifts in the Employee Portal. By default a manager at the location approves each change before the shift moves. Turn that off under Settings with A manager approves a claimed shift, or one given to a colleague, before it moves.
What people can ask
Offer one of their own published shifts. It stays theirs until someone claims it and the claim is approved.
Give to a named colleague at the same location. The colleague accepts first; then it comes to you.
Claim an open shift, or one offered by someone else, at a location they belong to.
Nobody can take a shift that overlaps one of their own. A request that is still waiting when the shift starts expires.
Decide a request
Open Shifts & hours and choose the Requests tab. Requests waiting for a manager are listed, newest first.
Choose Approve or Decline. The people involved are told either way.
Approving one claim declines the others on the same shift and closes the offer. Nobody decides a request they are part of, an Owner included: the row says another manager decides it.
Open shifts
When a shift is published with nobody on it, or is offered, the people at its location who are neither working nor unavailable then are told in the app. If it is still open two days before it starts, the location's managers are told once.
People
The People tab lists the people based at a location. For each person you can set:
Payroll code: how your payroll system knows them. The timesheet export carries it.
Weekly cap in hours: the roster warns when their week goes over it, for part-timers and student pass holders. Nothing is refused.
New clock-in code makes a new personal code for a site device, to hand to the person. See How each location clocks in.
